Payment reminders from your Tally books — on WhatsApp

Nexvia Books reads outstanding balances and bill-wise dues straight from your TallyPrime data and turns them into polite, professional WhatsApp follow-ups — with the party’s full statement PDF and a UPI payment link attached. One tap when you want control; a schedule when you want it off your plate.

Also on your phone

On iPhone, sign up on the web first. The iOS app opens straight to sign‑in and can’t create a workspace — once yours exists, it signs in like any other device. Android can do either.

Your receivables already live in Tally — use them

Every business knows the drill: export outstanding from Tally, paste numbers into WhatsApp, chase party by party, forget who was reminded when. Nexvia Books removes the export step entirely — the receivables list, bill-wise ageing and closing balances come straight from your synced books, so the follow-up list is always current and every send is logged against the party.

How it works

Collections, built into your books

One-tap reminders

Pick a party and a template — the message carries their live balance and dues, personalised with your business name.

Statement PDF attached

A clean, bordered ledger statement — like Tally’s — rides along, so the party sees exactly how the balance formed. No arguments.

UPI link included

The customer can pay right from the chat. Less friction, faster money.

Scheduled auto follow-up

Choose days, hours, minimum amounts and cooldowns — only genuinely-due parties get nudged, automatically.

Receipts back into Tally

When money arrives, record the receipt against the specific bills — it posts into Tally as a proper voucher.

Templates & control

Gentle, firm and final templates with variables; mute a party anytime; every send is in the log.

Made for Indian SMBs

Details that matter in real collections

  • Free manual mode — reminders can open in your own WhatsApp (wa.me) with the message pre-filled: no setup, no credits.
  • Automatic mode — sends go out via the WhatsApp Business API from a verified business number, even while you sleep.
  • Bill-wise honest — reminders and statements reflect actual pending bills and ageing, not just a raw balance.
  • Clean statements — particulars read “Sales”, “Receipt”, bank names — never round-off noise or tax-head clutter.
  • Escalation when you need it — the Collect add-on stages follow-ups (gentle → firm → final), tracks promises-to-pay and shows an AR-ageing cockpit.
  • Statements on a schedule too — parties with activity can get their account statement automatically, so disputes never pile up till year-end.
Setup

Start in minutes

Connect Tally

Install the small connector on the PC where TallyPrime runs and sign in. Your parties and outstanding sync in.

Numbers come from your Tally ledgers; add or fix any right in the app — they can even write back to Tally safely.

Send or schedule

Start with one-tap sends, then turn on the schedule once you trust it. You stay in control of tone and frequency.

In detail

Every way Nexvia Books chases a payment for you

Tap any row to open it. The full feature index covers the rest of the product.

Getting paid

Reminders, statements and invoices that go out on their own — on WhatsApp or by email — so following up stops being a daily chore.

Included in Books

The reminder worklist

Everyone who owes you, ranked, with a one-tap nudge against each.

A working list rather than a report. Filter to 30+ days, 60+ days, ₹10k+, ₹50k+ or “never paid”, add your own minimum amount and days-since-payment, then work down it.

  • Share · free — opens your own phone’s share sheet, you pick WhatsApp and tap send. No charge, ever.
  • Email statement · free — sends the same statement PDF to any party with an email on file.
  • Send now — Nexvia sends it for you on WhatsApp, using Nex Coins.
  • Mute a party, edit their numbers inline, or send to everyone at once
  • Reminders and statements reach every number on the party — each number in Tally’s phone field and the alternate number you add in the app

Automatic payment reminders

Set the rules once; overdue customers get chased without you opening the app.

Choose who qualifies (owes at least ₹X, no payment for Y days), how often the same customer may be messaged, a per-run cap, and the days and time reminders go out. Then leave it alone.

  • Sent automatically on WhatsApp — SMS is sent by hand for now
  • Your own message templates with insert chips for party name, amount, your business, days overdue and today’s date
  • A muted-parties list that automatic sending always respects

Reminder groups

Different parties, different messages, different days — each group chases on its own schedule.

Make named groups of parties — by your Tally or BUSY groups, by hand, or both — and give each group its own approved message, schedule, minimum balance and optional account statement. New parties that sync into a chosen category join the group by themselves; anyone you untick stays out.

  • Daily, chosen weekdays (twice a week is fine), fortnightly, monthly or every N days, at the time you set
  • Attach the account statement to the reminder, or send the reminder alone
  • A sending history per group — sent, waiting, not sent and skipped
  • Muted parties (including those muted in Collect), and anyone who has cleared their balance, are skipped
  • New groups start paused, so nothing goes out until you switch it on

Balance-update statements

A customer’s balance changes; their statement goes out by itself.

Whenever a party’s balance moves, Nexvia can send them their updated account statement as a PDF — on WhatsApp, or by email, free of charge, or both. A queue shows exactly who is waiting, and you can flush or clear it at any time.

  • Choose whether the outstanding-bills table is attached to shared statements
  • Age each bill from its bill date or its due date — the setting drives both automatic and manual statements, on every company
  • The same statement PDF whether it is sent automatically, shared by hand or emailed
  • A party muted in Collect is never sent a statement automatically; sending one by hand asks you to confirm first, and Activity shows it as “Party is muted in Collect”

Auto-send invoices & credit notes

Every new sales invoice reaches the customer on WhatsApp without you doing anything.

As each new sales invoice syncs from Tally, Nexvia can WhatsApp it to that customer automatically. Credit notes can ride along on the same setting, and you can skip anything below an amount you set.

Activity — every message, and why

One place that shows every invoice, reminder and statement that was sent, skipped, not sent or is waiting.

Activity lists each message Nexvia sent or tried to send for this company — invoices, automatic reminders, reminder groups and statements — with the time, the number or email used, what scheduled it, and the reason when something was skipped or not sent.

A party with no number shows Add number, so you can fix it on the spot. Invoices that are waiting can go out at once with Send pending now, and Muted parties in Reminder settings shows everyone who is muted and lets you mute any party.

  • Open it with the Activity button on Reminders (it lives in Reminder settings, under “3 · Activity”)
  • The daily automatic-reminder run lists every party it skipped and why
  • Shows “Party is muted in Collect” for parties muted in Collect

WhatsApp auto-reply for customers

Your customers message you on WhatsApp and get their own balance, statement, pending bills and pay link at once.

When a customer whose phone is saved on their party ledger messages your business on WhatsApp — on your own connected number, or on Nexvia’s shared number when the chat is matched to your company — an automatic reply sends a short menu and answers from that party’s own account only: their balance, a statement PDF for the period they pick, their pending bills and a link to pay by UPI. Your catalogue link is offered too, if you have made one.

“Talk to a person” is always on the menu: it marks the chat Needs a person in your Inbox and the auto-reply steps back. It also stays quiet for a while (12 hours by default) whenever someone from your business replies in that chat. Every automatic reply shows in the Inbox.

  • Never shows another party’s data or anything only your staff can see
  • A number saved on parties of more than one of your companies is asked which account it is about
  • Choose which answers are offered, a welcome line and an office-hours note
  • Numbers not saved on any party get one polite “we will reply” message, or nothing — your choice
  • Replies do not use your free WhatsApp messages. From 1 October 2026 Meta can charge for a reply (about ₹0.115 to an Indian number) and marks each message charged or free: on your own number whatever Meta charges is on your WhatsApp account’s bill; on Nexvia’s shared number Books takes only what Meta actually charged, from your Nex Coins
  • Save up to 5 more WhatsApp numbers on a party (party page → More WhatsApp numbers), e.g. the owner or the accounts person — their messages are recognised as that party. They get no reminders and are not sent to Tally
